Go to Settings > People > Contract setup > Employee contracts and click "Create"
Start by providing a name for the specific template
Type: Insert text allows you to type the text for the contract directly in the box.
Import Document allows you to upload an existing document with the right layout.
Regardless of the type, you can automatically merge each employee's information into the personal contract, using merge fields. You can find a list of available merge fields in the section below the text box. Make sure you write them correctly in your contract to avoid any errors.
Logo: If you have chosen to insert text, you can import a logo for the contract.
You can always edit the contracts. If you have chosen to insert text rather than import it, you will be able to edit directly in the text field. Otherwise you will need to download that same file, make your changes, save your document, and then import it again.
Changes will only apply to new contracts created after the change.
Merge fields in Word
To include information from the Planday system, e.g. employee name and address, in your future contract, please open your contract in Word and create a new merge field by clicking on the tab Insert > Quick Parts > Field.
From the list, please select 'Mergefield' and enter the name of the field, e.g. ADDRESS.
For users of Mac OS, please click Insert > Field and then select MergeField from the list. In the text box, please enter the mergefield's name after MERGEFIELD, e.g. ’MERGEFIELD ADDRESS’.
If you right click the object and select 'toggle field codes', you can name the new field accordingly, before you update (right click the object and select Update field). For Word merge fields, you do not need the < > surrounding the merge fields in the list.
To add more merge fields, simply copy an existing merge field from one place in your document to another, and then rename it by following the above instructions.
List of issued contracts
When you've printed a contract for an employee (edit employee), the contract will be listed in People > Contracts. Select the relevant tab and filter the list by Department, 'Contract status' and more.
